Database management

Database manager to create an account-based database management experience in DataCentral to make the tasks intuitive, efficient while compliant with Business Data Technologies data protection policy.

Key Ideas & Challenges

Intuitive and efficient experience
Account-based database management platform
Compliant with data protection policy

Database manager was VP goal that needed to make it easy for BDT users to manage database by creating, registering, share with team, generate reports.  User persona existed for overall BDT, but not specific for database manager project.

Process

Looking at existing user persona to get a sense of which persona fits for database manager project, I found some grouping of persona was not fit for specific database manager use cases.  I lead the UX effort by coordinating user interviews with Product Manager to understand how the users are currently managing databases in Andes Data lake and the challenges they face.

User research

14 user interviews
3 months project timeline
4 iterations
8 usability tests

Current user journey to manage database

After doing extensive brainstorming, I draw quick iterative sketches and jot down rough notes alongside them to begin fleshing out features and ideas. The users used 5 apps to manage databases.  BDT had average of 125 new databases per month because users were having difficulty understanding how and which apps to use to manage databases, they end up creating average of 53 support tickets per month.  It took about 7 days per ticket for BDT engineers and program managers to resolve tickets.

Problems

I had learned 3 main pain points from the research.  1. confusing workflow, 2.  those apps or pages were created as "Self-service", but it wasn't easily understood by especially non-technical users.  Even the technical users run into problems and they simply cut a support ticket because it was easy that way than try to solve by themselves.

  • 01 - Separate entry points and multiple workflows for creating and registering databases

    37.5% contact rate

"I didn't know where to start - I had to scour multiple wiki pages or Sage posts to find the tools and how to use them but more often than not, I ended up submitting a help ticket."
  • 02 - No self-service for registering a private subnet database, and managing database users

    33.3% contact rate

"Self-service tool never worked for me, so had to issue a ticket to get the onboarding completed from back-end"
  • 03 - No search capability.  Iff-line, manual and verbal communication

    Non-technical user

"I talk to DBA to add the database with IAM role, so I can access the database through Hoot or Datanet."

Problem statement

#Who - Database owners and DataCentral users
#What - Have trouble creating databases and giving team members access to databases
#When - When they use self-service tools to manage databases
#Why - Because the process requires deep technical knowledge to complete the task, so they create support ticket to complete it from the back-end, or rely on DBA to do it for them.

Hypothesis

#If - We create database manager in DataCentral
#Then - We will enable users to create databases, register databases with Datanet and Hoot, and add users when managing databases through one interface
#Because - The user can access database manager in DataCentral where other business Data Technologies applications are accessible.

Proposed user journey

Given there were existing apps and pages within DataCentral users use, I looked at combining them into workflow that can be accessible through DataCentral, which is BDT's Hub of applications.  Enable users to create databases, register databases with Datanet and Hoot, and Add users when managing databases through DataCentral.

Use cases

#Register database with Datanet

- As a database owner,I can register an existing RedShift/RDS PostgreSQL/RDS MySQL database with Andes and Dataset, so that I can use the database for running hobs and Andes subscriptions

#Search database
- As a DataCentral user, I can use the All Databases list to search for a CDO database, so that I can search for a database to see the properties and actions available for the database

#Add a user
- As a database owner, I can grant access to a user or a group, so that they can create Dataset jobs on the database

#Create database
- As a database owner, I can create a new RedShift/RDS PostgreSQL/RDS MySQL dataset, so that my team can use the database for running jobs and Andes subscriptions immediately after it is created

Looking ahead

While Database Manager platform provided interim place within DataCentral, I looked into improving navigation as a whole. DataCentral being a hub with hosting 30+ applications, navigation needed to be revamped, so the users can find application they need based on what they were at DataCentral to accomplish their daily activities.

Task- based navigation

Present applications based on user's task, so they can navigate to an application with a clear intention of what they are going to do.

Landing page

A user should be able to see what they need to do today at a glance to improve efficiency of task completion
